What We Do

Our focus is on pre-packaged global tours, luxury and river cruising, and all-inclusive vacation packages

(4.5★star or higher).   We do not handle:

  • Individual requests for flights, hotels, or car rentals only.

  • Visa or documentation assistance, unless included within a full travel package with my agency

  • New client requests for travel departing within 15 weeks, in alignment with industry fraud-prevention standards

 

Agency Deposit Policy

A $200 planning deposit is required to begin your personalized travel design.  In most cases, this deposit is fully returned before departure when your booking is confirmed with Wood Travel.

Booking with us costs no more than booking on your own — but you gain our expertise, connections, and stress-free service.

BOOKING CONFIRMATION

TRAVEL CARE

Contact us via email or a phone call.  We provide a complimentary 15-minute phone call session to see if we are your best vacation planner.  As we are on the phone a lot during the day, please leave a very detailed message.  OR you can email us!

Our agency will send you a secure link to complete your intake required for your file.  This includes personal information such as invoicing details, passports, and waivers.  We also require a $200 deposit, which is given back for 95% of what we book!

Once your intake is complete, we get to work!  Staying within your wishes and budgetary requirements, we will research the best options for you and send several comprehensive quotes.   We may go back and forth several times until we get it right!  

This process should not take longer than 5 hours combined.   

​We have found the perfect vacation!  We then go over any last-minute details, make sure you are all set, and confirm your booking with either deposits or full payment.  We handle all of the paperwork for you and provide a customized vacation review. Your file will be diarized accordingly and we will let you know the next steps before they happen!

Starting a week before you leave, we are in touch to ensure all flows smoothly and answer any last-minute questions!  We provide our cell and you will have contact with us in our app, in the event you need anything while away.  That peace of mind and customer service is hard to find and is reassuring for many! 

In-Person Pre-Vacation Consultation

Would you like to meet in person to discuss your travel plans? Wood Travel offers two appointment-only options which are scheduled after we have received your full intake and applicable consultation fees (if meeting in person):

  • Zoom Meeting: Complimentary 20-minute virtual consultation

  • In-Home Consultation (Lethbridge only): $100 for a 60-minute session. Payment is required at least three (3) days prior to the scheduled appointment.

Please note:

  • All consultation fees are non-refundable and not applied toward your travel package.

  • If payment is not received at least three (3) days in advance, the appointment will be cancelled.

Transparency & Fees

At Wood Travel, transparency is at the heart of how I do business. Many new clients are surprised to learn that most of my services come at no additional cost—my goal is simply to share my expertise so you can travel with confidence.

However, there are a few situations where a fee or deposit is required before I begin work on your file:

  • Research & Quoting Deposit: $200, fully refundable up to a few days before departure, provided the time spent on your file does not exceed 10 hours (which is the case for 95% of clients).

    • Note: The deposit is non-refundable when booking interior, oceanview, or balcony cabins on non-luxury cruise lines.

  • Travel Credits or Vouchers: A 20% non-refundable fee applies per voucher.

  • Payment Policy: All fees must be paid before services begin.

  • Dedicated Advocacy — Assistance and communication with suppliers on your behalf, whenever needed.

  • Upgrade Requests — Submitted on your behalf when available (not guaranteed).

  • Change Management — Support with unexpected schedule or itinerary changes.

  • Pre-, During-, and Post-Trip Support — Continuous guidance and communication before, during, and after your journey.

  • Destination & Travel Guidance — Practical advice and insights to help you travel smoothly.

  • In-Destination Assistance — Help in managing any unexpected issues that may arise while you’re away.

  • Insurance, Health & Entry Information — Essential updates on insurance, health, and destination requirements.

  • Destination Research — Up to five (5) hours of in-depth research included in your deposit (additional hours are allocated to finalizing your file).

  • Provider Liaison — Coordination with travel partners to ensure the best fit for your needs.

  • Supplier Coordination — We spend the time on hold so you don’t have to.

 

Luxury Ocean Suite and River Cruise Suite Bookings come with additional perks when reserved through Wood Travel, such as:

  • Onboard credit (when available)

  • Complimentary 15-day parking in Calgary with a one-night stay
